Privacy Policy

This Privacy Notice explains how we use any personal information we collect about our customers (“you” or “your”) to enable us to provide you with appropriate insurance products and services, settle any valid claims and deal with any concerns you may have.

If you are unable to provide the information requested then we will be unable to offer you the insurance policy and may be unable to validate any notified claims.

Who are we?

Cover4insurance.com(“we” or “us” or “our”) is a trading style of UK & Ireland Insurance Services (Online) Limited. We are authorised and regulated by the Financial Conduct Authority. Firm number: 312248. This can be checked by visiting the FCA's website at www.fca.org.uk 

We act as an Independent Insurance Intermediary for your insurance policy.

What information do we collect about you?Back to topics

To enable us to take the necessary steps to arrange the appropriate insurance products and services we may collect the following information:

  • Name, date of birth, address, other contact details, occupation, financial information such as bank details, details of insured items or cover required including the location of those items where applicable, details of additional people who you are including on the proposal or policy
  • Details of previous insurance cover
  • Previous applicable claims history excluding personal injury details or medical conditions.
  • Payment details in order to purchase the insurance.
  • Details about any claim being made under the insurance.
  • Details of any complaint should there be a need to make one.

We may also collect the following additional information, for an insurance purpose, where the provision of insurance is in the substantial public interest:

  • Previous applicable claims history including personal injury details or medical conditions.
  • Details of whether people to be covered by the policy have any unspent criminal convictions, County Court judgements or issues with any previous insurance policy.

You, as the purchaser, will be the primary insured and will be our primary point of contact in relation to any quotes generated and policies purchased.

You:

  • Will have access to all documentation, information and personal data relating to all Insured(s) on this policy.
  • Can make any change to all parts of the policy.
  • Can notify us if you need to make a claim.
  • Can cancel the policy.
  • Can raise a complaint concerning the policy or a claim.

Any other person named on the policy can:

  • Can notify us of a claim.
  • Can raise a complaint concerning the policy or a claim.

Any person given permission to handle the insured’s affairs can:

  • Can notify us of a claim on your behalf.
  • Can cancel the policy on your behalf.
  • Can raise a complaint concerning the policy or a claim.

We require prior permission from you in writing for this arrangement.

Remember, if you give us data about another person, in doing so you confirm that they have given you permission to provide it to us to be able to process their personal data as part of entering into this contract and also that you have told them who we are and what we will use their data for, as set out in this notice.

We will use your data for:

  • Processing your application.
  • Providing you with relevant documentation via email or post.
  • Administering your policy, including taking premium payments and paying valid claims. This may be done by third parties on our behalf.
  • Creating records in financial systems for accounting and management information reporting purposes.
  • Fraud prevention and detection.
  • Verifying your identity when required.
  • Dealing with any complaints raised.
  • Processing the automatic renewal of your policy, where applicable.
  • Improving our Pricing Models to ensure your policy is priced fairly.
  • Making decisions using computerised technology to price your policy based on details you provide to ensure your premium correctly reflects risk. To do this, we may compare your personal data against industry averages and may use your personal data to create or update industry averages.

Who do we share your information with and why?Back to topics

We may share your information with:

  • Third parties which supply services to us or which process information on our behalf (for example, taking payment, collecting your information via the proposal form or claims notification form, handling a claim or for communication purposes related to your application or policy purchase). We will ensure that they keep your information secure and do not use it for purposes other than those that we have specified in this notice.
  • Our group companies from time to time for the purposes of administering your policy and any related claims.
  • National anti-fraud databases, as part of our legal obligation to prevent fraud and money laundering.
  • Auditors, regulators and ombudsman, as required by legal obligation.
  • Another organisation if we sell or buy (or negotiate to sell or buy) any business or assets.
  • Another organisation to whom we transfer our agreement with you.

We will share your information if we are required to by law. We may share your information to enforcement authorities if they ask us to, or to a third party in the context of actual or threatened legal proceedings, provided we can do so without breaching data protection laws.

Some third parties that process your data on our behalf may do so outside of the European Economic Area (“EEA”). This transfer and processing is protected by EU Model Contracts which aim to provide the equivalent level of data protection to that found in the EU. How long do we keep your data?Back to topics

We will keep your personal data for as long as is necessary for the purposes for which it was originally collected. These purposes can be found in the section ‘How will we use your information?’

To ensure the financial integrity of our records held in our databases, we will retain your personal data within those systems indefinitely unless it is deemed unlawful to do so.

Where information has been created based on the data held in those databases, for example reports, documents and spreadsheets, we will retain those records for the following:

  • The longer of seven years from the date that your last claim on the policy was settled or twelve years after the expiry date of your insurance policy.

This enables us to help you should there be any issues relating to the insurance cover provided.

Our obligations to you

We are obliged to provide you with information on any actions that we have taken in response to any of the following requests.

  • Right to have access to your personal information.
  • Right to have your personal data corrected or removed if it is inaccurate.
  • Right to have your personal data deleted from our systems.
  • Right to restrict the processing of your personal data.
  • Right to object to the processing of your personal data for communications and marketing.
  • Right to have your personal data transferred to another company.
  • Right to lodge a complaint with the regulator and/or seek a judicial remedy.

We will respond to you within one month of the receipt of a request unless the number and complexity of the requests made is deemed sufficiently high in which case we may extend this time by a further two months. We will inform you if we need to make use of this additional time and why we need to do so.

We will not charge you for responding to any of these requests unless it can be demonstrated that you are making an excessive amount of repetitive requests or that your request is not based on fact, realistic considerations, or the like. In this exceptional case, we may charge you a reasonable fee or choose to refuse your request.

To assist us in responding to these requests, we may ask you to verify your identity to make sure that we do not give your personal data to the wrong person, update your data with details you did not provide or take action on your data that you did not request.

Right to have access to your personal information

You have the right to request a copy of the personal information that we hold about you.

Right to have your personal data corrected or removed if it is inaccurate

It is important to us that your personal information is accurate and up to date.

If you believe that some information is inaccurate or should be removed, you may either update your information directly by emailing us at privacy@cover4insurance.com. Alternatively you can write to the Data Protection Officer at The Stables, Old Co-op Yard, Warwick Street, Manchester, M25 3HB with details of your request.

Right to have your personal data deleted from our systems

You can request that we delete your personal data from our systems if you believe that:

  • We no longer need to process your personal data in order to provide you with appropriate insurance products and services or;
  • We no longer need to process your personal data in order to process any claims you make or;
  • We have processed your personal data in a manner which you believe is unlawful or;
  • We have to delete your personal data to comply with another piece of legislation.

We may choose to refuse your request if we believe that:

  • We have a legal obligation to keep your data or;
  • It is required for the purposes of processing outstanding insurance claims or;
  • It is required for establishing or defending a legal claim.

Right to restrict the processing of your personal data

You can request that we temporarily halt the processing of your personal data if you believe that:

  • We should not process your data whilst we are in discussions with you regarding a disagreement over the accuracy of your personal data or;
  • We have processed your personal data in a manner which you believe is unlawful but rather than wanting us to delete your data you would prefer us to take another course of action to rectify your issue or;
  • We no longer require the data but you do not wish us to remove it from our systems as you require it for establishing or defending a legal claim.

If such a restriction is put in place, then we will not process your data without informing you first that the reason for the restriction has been lifted.

Exceptions to this are that we can continue to process your data as follows:

  • Storing your data or;
  • Using it for processing any insurance claims that you have made or;
  • Using it for the purposes of establishing or defending a legal claim or;
  • Using it for the protection of the rights of another person.

Right to object to the processing of your personal data for communications and marketing

You have a right at any time to stop us from contacting you and if you wish to do so, please click on the link at the bottom of any email you receive from us. You can also email us at privacy@cover4insurance.com or alternatively you can write to the Data Protection Officer at The Stables, Old Co-op Yard, Warwick Street, Manchester, M25 3HB with details of your request.

Right to have your personal data transferred to another company

You have the right to receive a copy of the personal data that you have provided to us, that we process using our computer systems, in a format that can be read by another person’s or company’s computer system.

You have the right to transfer that copy of your personal information or can request that we do it for you, where it is technically feasible for us to do so.

This right of transfer can be refused if we feel that it would adversely affect the rights of another person.

Right to lodge and complaint with the regulator (Information Commissioner’s Office) and/or seek a judicial remedy

If we do not take action on your request within one month of its receipt and do not provide you with reasons why then you may lodge a complaint with the Information Commissioner’s Office. https://ico.org.uk/concerns/

If you believe that the way that we have processed your personal data is not in keeping with current Data Protection legislation then you may lodge a complaint with the Information Commissioner’s Office. https://ico.org.uk/concerns/

If you believe that your rights under current Data Protection legislation have been infringed as a result of the way that we have processed your personal data then you may seek a judicial remedy via the courts. Taking your case to court and claiming compensation
